Measure accurately: Discover the shortest spaces that form the room's width and length. The venue might show measurements of 130 x 60', but factor in columns along walls and storage areas - the clear assembly area can be significantly less.
Quick calculations: To quickly determine room size needed, multiply attendee count by appropriate square footage per person. To check if a room can accommodate your setup, divide total square footage by the appropriate square footage per person.
Consider room shape: In smaller or square rooms, there's more wasted space per person at front, rear and sides. Most venues provide chairs that are 20" front to rear and 17.5-18.5" wide.
Account for AV requirements: Withhold space between screen and front row, and between rear wall and back row. If you don't know screen height, withhold 20% from clear room length.
