The anatomy of a great event-planning prompt.

A great prompt behaves like a great brief. Vague briefs give you vague venues. Vague prompts give you vague plans. UK event planners get the sharpest AI output when they include four things every time — context, task, constraint and voice.

1. Context — tell it what you already know

Attach or paste the real files: last year’s registration CSV, budget, brief, feedback. Say who the audience is, how big, what sector. Skip this and the AI invents plausible-but-wrong numbers.

2. Task — one sharp verb, one output

Not "help me with sponsors" — "draft a 10-slide sponsor deck outline". Not "improve our marketing" — "give me 7 subject lines for a mid-market UK audience with a paid £299 ticket".

3. Constraints — ranges over false precision

Say "low / expected / high" for anything cost or lead-time. Cap word count. Specify tone (British, professional, warm). Constraints are what stops the AI drifting into generic hype.

4. Voice — model, don’t ask

Give it one example paragraph of your existing tone-of-voice. The AI mirrors patterns better than it follows instructions. Two sentences of your real copy is worth two paragraphs of tone guidelines.

Trusting the AI on live venue availability

AI trained six months ago cannot know that the Guildhall is booked for December 12th. Use AI to shape the brief; use humans to confirm availability.

Copy-pasting American tone into UK comms

Default ChatGPT tone is Silicon Valley. UK B2B delegates read "supercharge your team" and quietly delete. Give it two paragraphs of your real voice before you ask it to write.

Leaking guest lists to public models

Pasting a partner-dinner attendee list into a consumer chatbot is a GDPR incident. Use enterprise plans with data-retention off, or anonymise before you paste.

Believing invented statistics
